Scheduling and Intake Coordinator

We’re seeking a Scheduling and Intake Coordinator to keep our clinic days flowing smoothly while supporting both locations with excellence and compassion.

Position Summary

The Scheduling and Intake Coordinator manages all therapy scheduling operations—handling new referrals, intakes, cancellations, reschedules, and waitlists—while ensuring the schedule supports consistent care, therapist productivity, and family satisfaction.

The person in this role is eligible to work at either our Lucedale location or Mobile location (or some combination of the two). This may evolve in collaboration with the person in this role as the clinic continues to grow.

We’re seeking someone who is highly organized, thrives in a fast-paced environment, has a kind and warm personality, but can also be firm and clear when setting scheduling expectations.

Key Responsibilities:

Scheduling & Clinic Coordination

  • - Manage therapy schedules across both locations (Lucedale & Mobile)

  • - Schedule new patient evaluations and organize reassessments/discharges

  • - Consolidate and rearrange the schedule to fill gaps caused by cancellations or no-shows

  • - Reschedule patients when therapists are absent or unavailable

  • - Creatively fit patients into therapist availability, considering goals, coverage, and clinic needs

  • - Maintain a big-picture view of therapist productivity and appointment flow

Referral & Intake Oversight

  • - Process and track all incoming referrals

  • - Communicate with families regarding waitlists, timelines, and next steps

  • - Verify insurance benefits and relay coverage and cost information to families

  • - Ensure all new patients are onboarded smoothly and timely

  • - Coordinate with billing/front desk teams as needed

Family Communication & Boundary Setting

  • - Follow up with families about no-shows, cancellations, and rescheduling

  • - Clearly communicate and reinforce attendance policies

  • - Maintain a warm, family-centered tone while setting firm expectations

  • - Communicate frequently with therapists and leadership about updates and needs

Preferred Qualifications

  • - Previous experience in a medical office or pediatric healthcare setting

  • - Strong multitasking and organizational skills

  • - Bilingual in English and Spanish preferred

  • - Excellent communication and interpersonal skills

  • - Proficient with scheduling platforms and electronic medical records systems

  • - High school diploma required; Associate’s, Bachelor’s degree or above is a plus
